Learn how spaces work in the Heima app

A Space is the shared environment that everything in Heima revolves around. Shopping lists, chores, tasks, calendars, files, and insights are all tied to the Space your household members share. Everyone in the same Space sees the same data, works from the same lists, and contributes to the same goals.


What Is a Space?

Think of a Space as your household's shared workspace. When you create or join a Space, all the features in Heima — lists, tasks, recipes, scores — are shared with the other members of that Space. You can belong to multiple Spaces (for example, one for your family and one for a shared apartment), and you can switch between them at any time.


Space Types

When creating or editing a Space, you choose a type that best describes the group:

FriendsA group of friends coordinating shared tasks or shopping.
WorkA workplace team tracking shared tasks or supplies.

Note: Private Spaces cannot be shared or have other members added. If you want to collaborate, choose any other type.


Creating a Space

  1. Go to Settings → Spaces.
  2. Tap the + button in the top right.
  3. Enter a name for the Space.
  4. Select a space type.
  5. Confirm the time zone (auto-detected from your device, but can be changed).
  6. Tap Create.

A free Heima account includes one Space. Creating additional Spaces requires a Heima subscription.


Active Space and Default Space

  • Active Space — the Space currently selected. All lists, tasks, and data you see are from this Space.
  • Default Space — the Space that opens automatically when you launch Heima.

You can change both from the Spaces list in Settings. The current and default Space are clearly labeled on each Space card.


Space Settings

Only the owner of a Space can edit or delete it. Tap the menu (top right) inside a Space to:

  • Edit — change the name, type, or time zone.
  • Delete — permanently remove the Space. The default Space cannot be deleted; set another Space as default first.

Inviting Members (non-private Spaces)

Only the Space owner can invite new members.

Via Invitation Link

  1. Open the Space and tap Invite User from the menu, or tap the invite banner on the Space detail page.
  2. Copy the invitation link and share it however you like — message, email, etc.

Via QR Code

On the invite screen, a QR code is displayed. Other Heima users can scan it directly from the app to join the Space instantly.

Via the Share Button

Tap Send Invitation to open the system share sheet. This creates a pre-written message with your name, the Space name, and the invitation link included — ready to send via any app.

Inviting more than one additional member requires a Heima subscription.


Member Roles

Every person who joins a Space has a role that controls what they can do:

OwnerFull control — edit Space, manage all members, delete Space.
AdminCan manage members and roles, but cannot delete the Space.
MemberCan use all shared features (lists, tasks, etc.) but cannot manage the Space itself.
ViewerRead-only access — can see content but not make changes.

The owner can change any other member's role from the member list on the Space detail page.

Removing a Member

Tap the menu next to a member and select Remove. Members can also remove themselves from a Space.


Space Members

Space Members are a separate concept from Heima user accounts. They allow you to track chores, tasks, and scores for people who don't have their own Heima account — most commonly children.

For example, you can create a Space Member called "Emma" for your 8-year-old daughter. Emma can be assigned chores and earn points even though she doesn't have a phone or Heima account. You manage everything on her behalf.

Creating a Space Member

On the Space detail page, scroll to the Space Members section and tap + Create.

Fill in:

  • Name (required) — the display name for this member (e.g. "Emma" or "Oscar").
  • Member Type — select one of:
    • Adult — a grown-up in the household.
    • Child — a child whose chores and rewards are managed by others.
    • Guest — a temporary member (e.g. a relative staying for a while).
    • Other — for anything that doesn't fit the above.
  • Active — toggle off to temporarily disable the member without deleting them (useful for when a child is on holiday, for example).

Editing a Space Member

Tap next to a Space Member and choose Edit to update the name, type, or active status.

Connecting a Space Member to a Heima Account

If a Space Member later creates their own Heima account and joins the Space, you can link the two together. Tap next to the Space Member and choose Connect Account, then select the Heima user to link.

Once connected, the Space Member's history, scores, and assignments are tied to that user account. The linked account name appears on the member card for reference.

Deleting a Space Member

Tap next to a Space Member and choose Delete. The Space owner cannot be deleted as a Space Member.


Shared Storage

Each Space has a shared file storage area. Files uploaded within the Space — such as recipe images, documents, or receipts — are stored here and accessible to all Space members. The storage summary is visible on the Space detail page.


Connected Devices

Heima supports pairing shared devices (such as a tablet mounted in your kitchen) to a Space. These devices can display lists, dashboards, or other Space content without needing a personal login.

  • Approve Device Pairing — when a new device requests access to the Space, the owner approves it here.
  • Connected Devices — view and manage all devices currently paired to the Space.

Both options are accessible from the menu on the Space detail page.


Tips for Getting the Most Out of Spaces

  • One Space per household is usually all you need. Add everyone — including Space Members for children — to the same Space so shopping lists, chores, and insights are all shared automatically.
  • Use Space Members for kids instead of creating Heima accounts for them. You get full tracking of their chores and rewards without them needing a device.
  • Use the QR code for quick, in-person invitations — it's the fastest way to get a family member set up.
  • Set your household Space as the default so it opens automatically every time you launch Heima.
  • Deactivate Space Members rather than deleting them when they're temporarily not participating — their history is preserved and they can be reactivated later.
